Invoices

Danceit provides a built-in basic invoicing system that helps competition organizers generate invoices for dance schools with a click.

How to enable invoices feature

To enable the invoice generation feature, the organizer needs to:

  1. Navigate to the sidebar menu
  2. Select More > Fees > Invoice Settings
  3. Configure the required invoice parameters
  4. Save the settings

Once the settings are saved, dance schools immediately gain access to pro forma invoices.

Pro forma invoices

After the organizer enables invoice settings, dance schools can download pro forma invoices directly from their dance school panel. To do this, they need to:

  1. Log into the dance school panel
  2. Select the appropriate competition
  3. Navigate to the invoice section
  4. Download the pro forma invoice

Note that a pro forma invoice is not a legally binding invoice but serves as a preliminary bill of sale.

Generating proper invoices

The proper invoices are issued by the competition organizer:

  1. In the organizer panel, navigate to the sidebar menu
  2. Select Dance Schools > List of Dance Schools
  3. Click on Generate Invoice for the desired dance school

After generating the invoice, the organizer can preview and print it directly from the same list, either in traditional paper format or as a PDF file.

When an invoice is issued, danceit automatically sends an email notification to the dance school informing them that the organizer has just issued an invoice. The dance school can then:

  1. Log into their panel
  2. Select the appropriate competition
  3. Preview and print the invoice in either traditional format or as a PDF

Limitations

⚠️ It's important to note that danceit is not dedicated accounting software, and invoices generated through our application are a basic tool to help with financial settlements.

Changes in the starting lists (where new performances are added, categories are changed, or performances are permanently removed) may also cause changes in the invoices generated by danceit. Invoices in danceit are 'dynamic' and changes in the starting lists are immediately reflected on them.

This should be kept in mind, and in case of doubts, the use of this solution should be consulted with your accountant. Danceit does not offer more advanced options such as issuing corrective invoices - for more advanced financial operations, you should use a fully-fledged accounting program.
